Lists & search
Seven pages list your records: Parts, Vendors, Manufacturers, Purchase Orders, Work Orders, Locations and Inventory. They all share one toolbar for searching, filtering and choosing columns, and they all sort and page the same way. Learn it once and it works everywhere.

Searching
Type in the Search… box and click Search (or press Enter). The search matches any part of the text, ignores capitals, and looks in the main identifying fields of that list:
| List | Search looks in |
|---|---|
| Parts | Part number and description |
| Vendors | Vendor name |
| Manufacturers | Manufacturer name |
| Purchase Orders | PO number and vendor name |
| Work Orders | WO number and part number |
| Locations | Location name and description |
| Inventory | Part number, description and location |
For example, searching the parts list for usb finds both J-USB-C and CBL-USB-1M.
To clear a search, empty the box and click Search again, or use Clear in the Advanced panel.
Filtering with Advanced
When a single search box is not precise enough, click Advanced. A panel opens with one filter for each column of the list.

- Fill in any filters you need. You only fill the ones you want. Empty filters are ignored.
- Click Apply. Only rows that match every filter you filled in are shown.
- Click Clear to remove all filters and the search, and start again.
The kinds of filter you will meet:
- Text boxes match any part of the text, like the search box. Labels such as "Currency contains" say so.
- Pickers (for example Vendor on purchase orders, or Part Number on work orders) let you type to find and choose one record.
- Drop-down lists (for example Status) pick one exact value.
- Checkboxes switch a filter on, such as On hand only on the inventory list, which hides rows with zero quantity.
- Ranges have two boxes, "from" and "to", for dates and numbers. Fill one or both. For example, set only the first Order date box to see orders placed on or after that day.
The search box and the Advanced filters work together: a search plus filters shows only rows that match both.
If a filter value can't be understood, the Advanced panel stays open after you click Apply and shows a red message under that filter. The table stays empty until you fix or clear it.
Share a filtered list
Your search, filters, sort order and page number are all part of the page address. Bookmark it, or copy it into a message, and whoever opens it sees the same filtered list (showing their own column choices).
Sorting
Click a column heading to sort by it. Click the same heading again to reverse the order. The heading you sorted by shows a small arrow (▲ ascending, ▼ descending). Headings that can be sorted show a faint up-down arrow.
Each list starts in a sensible order: purchase orders and work orders newest number first, everything else alphabetically by its name or number.
Sorting keeps your current search and filters.
Choosing columns
Most lists can show more columns than they do by default. Parts, for example, can also show Detail, Reorder point and Unit. Purchase orders can show the currency and receiving details.

- Click Columns on the right of the toolbar.
- Tick the columns you want and untick the ones you don't.
- Click Apply. The page reloads with your columns, and keeps your search, filters and sort.
Your choice is remembered separately for each list for the rest of your session, until you log out. It is personal: it does not change what anyone else sees.
Note
If you untick every column, the list goes back to its default columns rather than showing an empty table.
Moving between pages
Lists show 50 rows per page. When there are more, page links appear under the table. Moving to another page keeps your search, filters and sort.
Using lists without edit permissions
Everyone can search, filter, sort and choose columns on every list. You only need a permission to create or change records, such as the New button in the action bar. See Roles at a glance.
