Company administration
Company administrators manage who can use BOMs Away and what they can change, and set the company-wide details that appear on purchase orders and reports. Everything on this page is under your name menu (top right), in Users and Company settings.
Permission
These pages need the Company administrator role. The person who created the company has it. Administrators can make other people administrators too. Other users don't see Users or Company settings in their menu.
The users list
Open your name menu and click Users.

Each row shows a person in your company, their Role (Admin or User), and a tick for each edit permission they hold. Administrators have every permission, so their row is all ticks. A name shows as "—" until the person enters one.
Invitations that have been sent but not yet accepted are listed underneath, under Pending invitations.
Inviting a user
People join your company by invitation. You never choose a password for someone else: they set their own when they accept.
- On the Users page, click Invite user.
- Enter their Email.
- Choose their role. Tick Company administrator (manage users & settings) for full control, or leave it unticked and tick just the edit permissions they need. See Roles and permissions.
- Click Send invitation.

BOMs Away emails them a link. When they click it, they enter their name and choose a password, and they are signed straight in with the role you chose. The link works once and expires after 7 days.
An email address can belong to only one BOMs Away account. If the address is already registered (in your company or any other), you'll see "Someone with this email already has an account."
Resending or revoking an invitation
In Pending invitations on the Users page:
- Resend emails a fresh link and restarts the 7 days. The link in the earlier email stops working, so tell the person to use the newest one.
- Revoke cancels the invitation. The link stops working straight away.
An invitation that has expired disappears from the list. To try again, invite the same address again. Inviting an address that already has a pending invitation replaces it with a new one.
Changing a user's permissions
- On the Users page, click Edit on that person's row.
- Change their First name and Last name if needed. Their name is shown against their work, such as the work-order lines they kitted. If it is left blank, their email address is shown instead.
- Tick or untick Company administrator and the individual edit permissions.
- Click Save changes.

The change applies the next time they load a page. They don't need to sign out.
At least one administrator
A company always keeps at least one active administrator. If you untick Company administrator for the last one (yourself included), the save is refused with "A company needs at least one administrator." Make someone else an administrator first.
To take away someone's ability to change anything, untick all their permissions. They keep view-only access and can still sign in. To remove someone from your company completely, email help@bomsaway.com and we'll do it for you.
Roles and permissions
Everyone in your company can view everything. Permissions only control what people can change. You can give someone any combination of the four edit permissions, or make them an administrator:
| Permission | What it allows |
|---|---|
| Edit parts, BOMs, inventory & imports | Create and edit parts, vendor sources, price breaks and BOMs. Create and edit locations. Adjust, count and move stock. Use Import. |
| Edit vendors & manufacturers | Create and edit vendors and manufacturers. |
| Edit purchase orders & generate POs | Create and edit purchase orders, move them through approval, issue, receive, cancel and close them short. Use Generate Purchase Orders on the Buy page. |
| Edit work orders | Create work orders, release, kit and un-kit, start production, complete and cancel them. |
| Company administrator (manage users & settings) | Everything above, plus the Users and Company settings pages. |
Ticking Company administrator grants every edit permission, whatever the individual boxes say. If you later untick it, the person keeps only the individual permissions that are ticked when you save.
Buttons for actions someone can't perform are hidden from them. A common set-up for a small team:
- Buyers: Edit purchase orders, plus Edit vendors & manufacturers.
- Production: Edit work orders, plus Edit parts, BOMs, inventory & imports (to adjust stock).
- Viewers (sales, management): no edit permissions.
Company settings
Open your name menu and click Company settings. Change what you need and click Save settings at the bottom.

The settings, top to bottom:
| Setting | What it is for |
|---|---|
| Company name, Company website, Company address, Company phone | Your details at the top of every purchase order. The company name also appears in everyone's name menu. |
| Company logo | An image shown on purchase orders and printed work orders and reports. |
| Receiving contact, Receiving company name, Receiving address, Receiving phone | The default "Ship To" for new purchase orders. Each order keeps its own copy, which you can edit on the order. |
| PO number format, WO number format | How purchase order and work order numbers are built. See Number formats. |
| Home currency | The currency for cost totals: the Buy page, BOM costs and the inventory valuation report. See Currencies and exchange rates. |
| Payment terms, FOB, Ship via, Freight terms | Default terms for new purchase orders. Each field suggests common values as you type, but accepts anything. Ship via also suggests your shipping methods. |
| Tax rate | A percentage, for example 15 for 15%. Leave it blank for no tax. |
Changes apply to new orders only
A purchase order copies the terms, tax rate and receiving address when it is created. Changing these settings never changes an order you have already raised. A vendor's own terms take priority over the company defaults when a new order is created. The company name, address and logo are the exception: they always show the current settings, even on older orders.
Number formats
The PO number format and WO number format fields control how new order numbers look. The help text under each field shows today's date values and a live preview of the next number.

- A block of
#is the counter. Its width sets the zero-padding:#####gives00001,00002, and so on. The counter grows past that width if it needs to. - Use exactly one block of
#, and don't put anything starting with a digit straight after it. - Add fixed text before or after the counter, for example
PO-#####. - Add the date with
%Y(year,2026),%y(26),%m(month),%d(day) or%b(Sep). For example,%Y-####gives2026-0001. When the year changes, the counter starts again at0001. - Leave it blank to use
#####. - Work orders built as part of a larger work order add
.001,.002to their parent's number. You don't need to allow for this in the format.
Stick to letters, digits, dashes, slashes and the % codes above. Other symbols such as ., [ or ( can confuse the counter. If the preview shows a red warning that the format could not be previewed, change it before saving.
Changing the format only affects numbers issued from then on. Existing orders keep their numbers.
Currencies and exchange rates
Each vendor has a default currency, and each purchase order is in one currency, usually its vendor's. Prices and price breaks on a vendor source are in that vendor's currency.
Where BOMs Away adds up costs from several vendors (the Buy page, BOM cost roll-ups and the inventory valuation report), it converts everything into your home currency using exchange rates.
- To choose a currency, type its code, its name or a country. For example, "canada" finds
CAD. - Exchange rates are updated automatically once a week from a public exchange-rate feed. You don't enter rates yourself, and they are not shown anywhere in the app.
- Nothing is converted if all your vendors use the home currency.
When a cost can't be converted, because its currency has no exchange rate yet or the part has no price, BOMs Away doesn't guess:
- On the Buy page, the unit price shows as —. If the home currency itself has no rate, a red warning at the top says costs can't be converted and read as 0.
- On the printed inventory valuation and BOM reports, the part number is marked with * and counted as zero in the total.
If you see these markers for a currency you use, contact support so a rate can be added.
Shipping methods
At the bottom of Company settings, click Shipping methods. These are the carriers you use and your account number with each. They are suggested in the Ship via field on purchase orders, so vendors know whose account to bill.

- To add a method, fill in Carrier / service (and Account number if you have one) in the empty bottom row, and click Add.
- To change one, edit its row and click the save icon on that row.
- To remove one, click the bin icon and confirm. Purchase orders you have already raised keep the shipping method they were sent with.
Each carrier name can be used only once. Click Back to settings to return.
